1. FUNCTIONAL CONTENT

Main Role

Own and coordinate the operational planning and execution of global marketing events and marketing operations, ensuring high-quality delivery, compliance and operational excellence across a highly specialized pharmaceutical environment.

Act as a central operational & strategic hub for global marketing initiatives, enabling global and local teams to execute efficiently and consistently.

Roles

Your key responsibilities will include:

Global Events & Operations Ownership

  • Own the end-to-end operational planning and execution of global marketing events, including international congresses, symposia, advisory boards, product launches and scientific society engagements.
  • Define how global events are designed, prioritized and delivered at ESTEVE, establishing a consistent operating model across functions and geographies.
  • Coordinate venues, travel, agendas, materials, booth logistics, agencies and internal stakeholders ensuring high operational standards.
  • Lead global congress coordination, aligning participation, delegation planning and presence with affiliates.
  • Drive prioritization of event participation based on portfolio strategy, market development objectives and business impact.
  • Transition execution responsibilities from Brand Teams to a centralized model, ensuring clarity of roles and accountability.

Strategic Partnership & Market Development

  • Act as a strategic operational partner to Global Marketing and Market Access, ensuring event execution supports brand positioning and long-term market development.
  • Contribute to defining industry-aligned engagement models, including interaction with scientific societies and integration of patient voice initiatives when relevant.
  • Support decision-making on event investments by ensuring operational feasibility, scalability and governance alignment.
  • Anticipate operational implications of portfolio evolution and proactively propose structured solutions.

Operating Model & Ways of Working

  • Design and formalize SOPs and standardized processes for different types of global events (congresses, advisory boards, symposia, launches).
  • Define "what good looks like" in global event execution, including governance flows, documentation standards, templates and approval checkpoints.
  • Establish scalable workflows between Global teams, affiliates and external agencies.
    Influence cross-functional stakeholders indirectly by setting standards, frameworks and operational discipline across the organization.

Agency & Vendor Ecosystem Management

  • Select, brief and manage external agencies supporting logistics, booth design, symposium execution and congress coordination.
  • Ensure alignment between marketing strategy and agency delivery, maintaining brand consistency and compliance.
  • Oversee booth design and congress presence in coordination with agencies and internal teams.
    Monitor vendor performance, service quality, timelines and cost control.

Procurement, Finance & Compliance Governance

  • Coordinate closely with Procurement and Finance on supplier onboarding, purchase orders, budget tracking and invoice management.
  • Ensure full adherence to internal governance, compliance standards and external pharmaceutical regulations.
  • Act as a reference point for audit readiness related to global event execution and documentation.

Global-Local Coordination

  • Serve as the primary operational point of contact for global event-related topics across Global and affiliate teams.
  • Ensure alignment and visibility across countries on event participation and execution standards.
  • Facilitate collaboration and information flow between Global Marketing, Market Access and affiliates.

  • External: Scientific Societies, Event agencies and logistics providers, Hotel and venue contacts,Travel partners, Material suppliers and vendors

3. JOB PROFILE

Qualifications and professional experience

  • Bachelor's degree in Business Administration, Event Management or a related field.
  • 5+ years of experience in marketing operations, events management or operational roles in an international corporate environment.
  • Proven experience managing global, complex events (in-person and hybrid).
  • Solid exposure to procurement and finance processes (e.g. SAP, Ariba), including PO and invoicing workflows.
  • Strong understanding of compliance and governance in regulated industries (pharma / healthcare).
  • Advanced user of Excel, PowerPoint and collaboration tools (Teams, SharePoint).

Languages

  • Candidate should demonstrate English at a fluent level.
  • Other European languages will be a plus
