Job Description
RESPONSIBILITIES
All admin related to Single Samples for Business Manager
- Gathering all necessary information regarding samples for BM clients.
- Obtaining the signed order forms and other necessary documentation for new clients.
- Sending through all necessary documentation to client registration to upload on Focus and to open on BOSS once FOCUS approval is in place.
- Obtaining signed order forms and /or Purchase Order Numbers for existing clients.
- Saving of order forms / purchase orders and other client documentation on the server
- Opening an order line for these single samples on the Business Info Worksheet (BI)
- Arranging the pick-up of samples from Potch and other remote areas and sending them to the lab.
- Follow-up and confirmation that the samples were received by the lab.
- Completing the lab list and sending an internal order number and client info to the lab
- Sending through information for BOSS orders to be opened on BOSS.
- Sending out results and coordinating with BM if Interpretations must be done.
- Collecting proof of all results or results with interpretations, sent to clients.
- Compiling of all paperwork for invoicing and requesting client invoices for these single samples
- Sending out invoices to clients for these single samples
All admin related to Soil Classification
- Obtaining the signed order forms and other necessary documentation from new clients once scheduling is received.
- Sending through all necessary documentation to client registration to upload on Focus and to open on BOSS once FOCUS approval is in place.
- Relaying to contractors asap when work can commence as soon as client approval is in place.
- Requesting the opening of orders in BOSS.
- Follow up the progress of Soil mapping fieldwork scheduled on a weekly basis (Make sure that all data is received for work scheduled)
- Receiving of Soil Classification data from contractors, the checking thereof and handle data related enquiries.
- Send the soil classification data to GIS and prepare the files for the Soil Scientist for the actual classification.
- Completing the Soil Classification sections of the Business Info Worksheet.
- Follow up and co-ordination of all Soil Classification work up to the point of invoicing and sending out of the invoices.
All marketing related functions
- Build and execute social media strategy through competitive research, platform determination, benchmarking, messaging, and audience identification.
- Generate, edit, publish, and share content regularly (original text, images, video or HTML) that build meaningful connections.
- Set up and optimize company pages within each platform to increase the visibility of company's social content.
- Moderate all user-generated content and respond accordingly.
- Collaborating with Marketing, Sales and Product Development teams
- Arrangements for Nampo and other marketing related tasks
All HSE related functions
- Ensure understanding and support implementation of the HSE Management System
- Ensure understanding of H&S Roles and Responsibilities within the business.
- Support the effective implementation of the HSE Management System, Strategies and Programs
- Support the country's H&S Manager in improving Safety Culture within the business.
- Partner with the H&S Business Line Managers/Coordinators/Representatives and Business Line Managers to continuously improve HSE programs and accountability, in support of the country's HSE objectives (Top Pages) and business initiatives.
- Participate in identifying HSE training needs, developing the training matrices and plans. Organize and conduct HSE training.
- Ensure HSE training is aligned with HSMS, local regulatory requirements and business requirements.
- Ensure that training is conducted at site level as per the training plan.
- Ensure that training effectiveness is monitored, and improvement actions identified and implemented (where necessary).
- Lead or participate in investigations as directed by the H&S Manager.
- Coordinate contractor management at head office.
- Support Business Line Internal Auditing Programme through reviewing annual internal audit plans, co- auditing and assisting business lines with corrective action reports once audits were performed.
- Evaluate the effectiveness of corrective and preventive actions taken.
- Champion specifically assigned projects.
- Ensure and support H&S Personnel in HSE and Sustainability monthly, quarterly, half-yearly and annual reporting.
- Help with other divisional tasks where requested.
SPECIFIC AUTHORITIES
- Cease the use of any equipment or environment that may be deemed to constitute a safety hazard or entry to hazardous environments without the necessary key and protection and take action to address the hazard.
- Cease to carry on with work that may affect the quality (integrity) of services and take action to address the issue.
- Initiate a formal improvement request when a deviation of the system occurs, possible improvements are identified or when nonconformity is identified.
- Inform your manager of any major risks, process failures or customer complaints.
- Ensure that the quality requirements are not subordinated to any prejudicial interests.
- Ensure all signatory approval of documents is in compliance with Company requirements.
- Ensure that the relevant management systems are not compromised.
- Identify and report non-conformances with respect to the quality system, integrity, and operational integrity.
- Compliance with all company policies and procedures.
