We are looking for a Sales Support Specialist to join our Mobility & Convenience Retail Operations Support team in Madrid. This role supports the smooth delivery of operational processes across bp Retail in Spain, working closely with internal teams, Retail sites, external providers, authorities and other key stakeholders.
This is a strong opportunity for a professional with experience in sales support, retail operations, commercial operations, back-office coordination, vendor management, invoice processing, reporting or process improvement.
About the role
The Sales Support Specialist will coordinate day-to-day operational activities related to Retail site support, materials, uniforms, utilities, vendors, purchase orders, invoices, operational tax documentation, reporting and master data.
The role will help ensure that processes are completed accurately, issues are followed up, suppliers are run effectively, and internal teams receive the information and support they need to deliver safely and efficiently.
Key accountabilities
Retail site support materials and services
Coordinate site support materials, stock levels, replenishment, supplier follow-up and incident resolution.
Lead uniform-related processes for Mobility & Convenience sites, including planning, campaigns, orders, deliveries, supplier communication and budget tracking.
Supervise local operating budgets by category and provider, supporting cost control and effective service delivery.
See opportunities to improve operational processes, ways of working, systems, planning and reporting.
Utilities management
Coordinate operational processes related to electricity, water and other services for bp and Markoil channels.
Support contract processes, master data updates, re-invoicing, formal notifications, reconciliations and issue follow-up.
Work with Retail sites, Finance, Accounting, Tax, external providers and local authorities to resolve operational topics.
Prepare tracking reports and support improvement actions related to utilities management.
Operational tax compliance and documentation
Support compliance with tax, legal and regulatory requirements linked to operational business processes.
Monitor and resolve errors in automatic interfaces between Markoil Retail sites, internal systems and the Tax Administration.
Review invoices and documentation not correctly integrated, coordinate reconciliations and follow issues through to resolution.
Work with Tax, Assets, Operations and Finance teams to support accurate and compliant processes.
Vendors, purchase orders and invoice management
Validate purchase order requests and invoices in line with local Delegations of Authority and bp business policies.
Support invoice processing, payment follow-up, issue resolution and documentation control.
Assist with vendor creation, vendor master data updates and related internal processes.
Stakeholder management and continuous improvement
Build strong working relationships with providers, authorities, Retail sites and internal partners.
Support internal teams with information requests, data analysis, reporting, documentation and master data management.
Assist with legacy system queries and integration topics related to other companies of bp Group.
Share standards across regions and chip in to continuous improvement.
Act as a role model for bp's values and follow the bp Code of Conduct.
What you will need to be successful
Relevant studies in Business Administration, Commerce, Operations, Finance or a related discipline. Equivalent experience in a similar role will also be considered.
Experience in sales support, retail operations, commercial operations, back office, service coordination, customer operations, business support or a similar operational role.
Experience working with suppliers, vendors, external providers, Retail sites, customers or internal business teams.
Good understanding of purchase orders, invoices, billing, reporting, documentation, master data or finance-related administrative processes.
Experience with process follow-up, issue resolution, data analysis or operational improvement.
Good knowledge of Microsoft Office, especially Excel.
SAP or another ERP system in P2P processes.
