What You Will Achieve
In your role, you will provide daily organizational and administrative support to the Pfizer Patient Services Head. This includes the handling of daily routine tasksin order tomaximize operational efficiency. Witha high levelof discretion and confidentiality, you will organize and coordinate meeting and travel arrangements in house and/or off site from other Pfizer locations.
ThisAdministrative Assistant role willbe responsible forproviding administrative support to theHeadofPfizer Patient ServicesandthePfizer Patient ServicesTeam Leads.The role involves leading/supporting several project initiatives as well as day-to-day administrative responsibilities to thehead ofPfizer Patient Servicesanddirect reports.
How You Will Achieve It
- Provide administrative support to thePfizer Patient Servicesteam, including calendar management, travel, coordination of team meetings, meeting management andlogisticsandfullexpense report support.
- Provide administrative support tothePfizer Patient ServicesLeadership Teamwith meeting planning,tracks decisions and outcomes from meetings, proactively follows up to ensure deliverables are met, prepares and drafts recommended agendas for key meetings,meeting material coordination anddistributes meeting minutes.
- Proactivelyidentifyandresolvepotential challenges in meeting, calendar, and travel management.
- Manage document resources on SharePoint site. Maintain theteam SharePoint sites,ensuring all documents are organized in a logical and easy to access manner; provides recommendations for enhancements and partners with others to implement
- Able to edit and proofread, but also create documents with some guidance, using advanced Microsoft Office capabilities
- Work closely with outside vendors, providing support when needed with meeting scheduling and office space.
- Support project management asrequested.
- Manage PurchaseOrder'sthrough the Ariba, PBG,PoDand ePA3 systems, also tracking payment of invoices asrequested.
- Lead or supportdifferentPfizer PatientServicesoptional projects and initiatives.
- Process incoming and outgoing mail, including ability to handle time sensitive and confidential matterson a regular basis
- Coordinate and provide key information to other cross-functionalandbusinesspartnersasrequested, and asappropriate.
- May be asked toparticipatein larger initiatives, such as Op Plan, andprovide assistancewith coordination,schedulingand management of documents
- Assistwithonboarding ofnew colleagues asrequested.
- Update team organizational charts and distribution lists asrequested.
- Coordinate activities for meetings and events including ordering food and AV equipment, managing/setting up AV equipment on site, and handling issues for offsite meetings.
- Proactively and independently organize andexpediteworkflow andinitiatefollow-up when necessary to ensure schedules and deadlines are met, particularly whenleaderis offsite.
- Work closely withthe leadershipAdministrative Assistantsaboutcoverage within thePfizer Patient Services/ GAVgroup
BASIC QUALIFICATIONS
Candidatedemonstratesa breadth of diverse leadership experiences and capabilities including: the ability to influence and collaborate with peers, develop and coach others, oversee and guide the work of other colleagues to achieve meaningful outcomes and create business impact.
- High School Diploma or GED with 4+years'of experience required as executive administrative assistant or coordinator
- Bachelor'sdegree preferred
- Ability to work effectively in a team-based environment and partner with internal/external stakeholders
- Self-starter, proactive, solution-seeking attitude,anticipatingteam needs and activelyidentifyingopportunities to strengthen results
- Demonstrated ability to manage tight timelines and work under pressure
- Ability toanticipateand proactively resolve conflicts and use diplomacy to resolve problems
- Strong verbal and written communication skills - ability to mobilize team members and engage leadership
- Demonstrated ability to show good judgment and discretion
- Demonstrated project management experience
- Business acumen,decision-making, anddemonstratedflexibilityand diplomacy
- Ability to navigate internal organization/processes
- Excellent judgment as well as the ability to work with extremely confidential documents and information and excellent follow-up skills
- Strong working knowledge ofMicrosoft Outlook, the Microsoft Office Suite(i.e., Microsoft Word, Excel, PowerPoint, Outlook, and OneNote)and SharePoint; in addition to Pfizer applications such as ePA3, Ariba,PoD.
- Ability and willingness to handle special projects
- Availability to work flexible hours (early AM, overtime, etc.) when needed
- "Demonstrate experience fostering productive relationships with other senior executive administrative staff"
- General knowledge of the pharmaceutical industry and healthcare environment
- Demonstrated experience with strategic and operating plan processes
- Discretion and trustworthiness in dealing with confidential situations

The salary for this position ranges from $33.12 to $55.19 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company's policies.
